Duties and Responsibilities

Main responsibilities
The Administrative and Logistics Assistant shall provide administrative and logistical support, to the We Effect Zimbabwe Country office.

Office Administration
Main Duties: Support in arranging meetings, trainings, seminars, workshops and staff functions when requested; Manage local office procurements by ordering office supplies; Manage office supplies and stationery and ensure enough stocks are available at all times; Maintain stock sheets and provide documents for conducting monthly stock take; Liaise with travel agencies and handle air tickets booking for the country office; Management of office inventory and ensure that all We Effect assets are insured; Offer clerical support to staff when needed and manage the hard and electronic filing system for the administration office; Assist in keeping office clean and organized; Support staff on accommodation booking, follow-up all invoices and ensure timely submission of hotel bills to Finance for payments; Keep a clean and safe working environment and optimise space utilisation and kitchen utensils.

Logistics
Daily vehicle management and coordination of vehicle schedules, review and prepare monthly fuel analysis, verify, and certify daily vehicles’ logs, and secure car rental services whenever deemed necessary; Support office errands including banking, ZIMRA and NSSA, suppliers and partners; Perform inventory controls and keep quality standards high for audits; Ensuring strict servicing and maintenance times for vehicles to minimize downtime and conducting vehicle checks; Utilising vehicle tracker system to monitor use of vehicles; Assist in the yearly renewal of office and vehicles licenses by liaising with relevant offices.

Other duties
Perform any other tasks as needed in the role of Administrative and Logistics Assistant assigned by the Administrator and Country Representative.

Qualifications and Experience

Qualifications
Relevant diploma in Administration / Logistics or procurement with a recognized institution; Basic computer skills with fair use of Ms Word and Ms Excel; A clean Class 4 driver’s license and valid defensive driving certificate; At least 2 years experience in a similar position preferably with a not-for-profit organisation; An appreciation of internal controls, policies and procedures; Excellent written and oral communication skills.
