Job Description

Job Title​​ : Costing Clerk

Reporting To​​ : Contracts Manager

Job Purpose
The Costing Clerk is responsible for supporting the Quantity Surveying and Commercial function through accurate measurement, costing, valuation, and administration of construction project financials. The role focuses primarily on Interim Payment Certificates (IPCs), subcontractor valuations, BOQ administration, cost tracking, and project commercial documentation to ensure proper financial control and timely project billing.

Duties and Responsibilities

Key Responsibilities
1. Interim Payment Certificates (IPCs)
● Prepare Interim Payment Certificates (IPCs) for client submissions.
● Measure completed works against Bills of Quantities (BOQs) and project progress.
● Compile all supporting documentation required for IPC submissions.
● Liaise with Site Engineers, Project Managers, and Quantity Surveyors to verify completed works.
● Maintain IPC registers and tracking schedules.
● Monitor certification status and follow up on approvals and payments.
● Assist in resolving IPC-related queries and discrepancies.
2. Measurement & Valuations
● Assist with quantity take-offs and measurements from drawings and site reports.
● Prepare subcontractor valuations and payment assessments.
● Verify quantities claimed by subcontractors and suppliers.
● Track variations, omissions, and additional works.
● Assist in the preparation of variation orders and final accounts.
3. Costing & Commercial Administration
● Update project cost reports and commercial trackers.
● Capture and reconcile material, labour, plant, and subcontractor costs against BOQs and budgets.
● Assist in monitoring project expenditure versus approved contract values.
● Maintain accurate records of project commitments and liabilities.
● Prepare cost reconciliations and expenditure summaries.
4. BOQ & Contract Administration
● Maintain and update Bills of Quantities (BOQs).
● Assist with pricing schedules and commercial documentation.
● File and manage contract documents, site instructions, variation orders, and payment certificates.
● Ensure proper documentation control for commercial records.

5. Reporting
● Generate summaries of certified works, outstanding IPCs, and subcontractor payments.
● Assist Quantity Surveyors with project cash flow reporting and cost forecasting.

Qualifications and Experience

Minimum Qualifications
● Diploma or Degree in:
○ Quantity Surveying
○ Or related construction/commercial field
Experience Required
● 1–3 years’ experience in a Quantity Surveying, costing, or commercial role within the construction industry.
● Experience preparing IPCs and subcontractor valuations preferred.
● Understanding of BOQs, measurements, and construction contracts.
● Exposure to project commercial administration.
