Applications are invited from suitably qualified and experienced candidates for the position of Divisional Secretary to the Finance and Administration Department which has arisen in our Institute.
Duties and Responsibilities
The successful candidate will report to the Finance and Administration Manager. Duties will include:-
Scheduling meetings and Appointments.
Minute Taking at divisional meetings.
Compilation of monthly divisional report
Produces all divisional documents
Responds to all client queries.
Maintains the division’s records.
Liaises with other divisional heads on matters relating to preparation and
execution of programs
Mail Collection
Ensures that all correspondence is attended to promptly
Request departmental stocks from stores.
Follow up of requested goods and services from Procurement department.
Arranges and manages entertainment and other divisional functions
Assist with Management of pool vehicles.
Qualifications and Experience
1. At least 5 years in a similar position
2. Diploma in Secretarial Studies
3. Degree in Office Administration & Management or equivalent
