Job Description

We are seeking applications from suitably qualified candidates to fill the vacancy of Front office administrator

Duties and Responsibilities

• Keep record of all lockable files and maintain inventory of company assets
• Accommodate clients at the reception in a hospitable manner and direct visitors to their intended destination
• Operate switchboard and direct clients to relevant departments
• Coordinate staff meetings and appointments
• Manage all matters pertaining to reception/office appearance and utilities
• Maintain database of suppliers and service providers
• Prepare minutes for all staff meetings, read them out and ensure they are properly signed and filed.
• Assist with administrative tasks and provide research and administrative support to all departments and individuals, where necessary
• Coordinating office activities and operations to secure efficiency and compliance to company policies
• Supervising general staff and dividing responsibilities to ensure performance
• Keep stock of office supplies and place orders when necessary
• Complete data entry of contacts into CRM System
• Assist in the creation of presentations and collateral sales material
• Assist in social media management
• Making phone calls to follow-up on emails and promotional material
• Record inquiries and make calls to follow up prospects.
• Filling and set reminders for the marketing department
• Any other duties as required and directed by management

Qualifications and Experience

 At least 5 ‘O’ Levels including English Language and Mathematics
 Diploma in secretarial studies /Administration or equivalent
 At least 2-years relevant experience
 Excellent spoken and written English, should be able to communicate well with customers.
 Applicant should be 30 years of age and below
 High degree of proficiency in Computer skills
 Able to work under pressure with minimum / no supervision
 Must be well groomed, confident and have a disposition.
 Sound knowledge of Microsoft office tools
 Driver’s License is an added advantage
 Basic Marketing knowledge and digital marketing certificate is an added advantage
 Knowledge of Quality Management System is an added advantage
