The Office Administrator/Receptionist will serve as the first point of contact for visitors and clients while ensuring smooth day-to-day administrative and clerical operations of the office. The role supports management, staff, and external stakeholders by providing efficient reception, communication, and administrative services that contribute to the productivity of the manufacturing company.
Reception Duties
Greet and welcome visitors, directing them to the appropriate person or department.
Answer, screen, and forward incoming phone calls in a professional manner.
Manage the reception area, ensuring it is clean, presentable, and professional at all times.
Handle inquiries (in person, via phone, or email) and provide accurate information.
Office Administration
Maintain office supplies and ensure availability of stationery and consumables.
Manage incoming and outgoing mail, deliveries, and courier services.
Prepare and distribute correspondence, memos, and reports as required.
Maintain filing systems (both electronic and physical) ensuring documents are easily accessible.
Assist in scheduling meetings, appointments, and company events.
Support HR and Finance with timesheets, staff attendance records, and petty cash management where necessary.
Support to Management & Staff
Provide administrative support to operations, procurement, and other departments when needed.
Diploma/Certificate in Office Administration, Secretarial Studies, Business Management, or related field.
At least 2 years’ experience in a similar role
