Personal Assistant to support a senior executive leading regional operations.
Purpose of the Role
To provide executive-level administrative and strategic support to the Group Executive. This role
requires exceptional time management, communication, and organizational skills. The ideal
candidate will act as a trusted gatekeeper, scheduler, and productivity partner, ensuring the
Executive’s time, focus, and energy are spent on high-impact work.
Calendar & Schedule Management
● Manage a dynamic calendar: coordinate meetings, calls, appointments, and travel (local
and regional).
● Anticipate scheduling conflicts and prepare solutions ahead of time.
● Ensure high-priority meetings are executed with necessary documents, briefs, and
context.
Task & Workflow Coordination
● Track and follow up on key tasks and team deliverables.
● Help filter decisions that need immediate attention vs. those that can be delegated.
● Maintain project to-do lists and help move critical items forward.
Communication & Correspondence
● Draft professional communications (emails, WhatsApp briefs, memos, meeting invites,
etc.).
● Liaise with clients, partners, and internal teams on behalf of the Executive.
● Prepare minutes and follow-up summaries from strategic meetings.
Administrative & Logistical Support
● Coordinate travel, accommodation, and logistics in Zimbabwe and Zambia.
● Organize internal sessions such as team check-ins, strategic planning meetings, and
training workshops.
● Uphold discretion and handle all information with confidentiality.
Key Competencies
● Excellent communication (spoken and written).
● Highly organized and detail-oriented.
● Tech-savvy: proficient with Microsoft Office, Google Workspace, Zoom, Trello, or similar
tools.
● Strong interpersonal skills and professional demeanor.
● 2 years’ experience as a Personal or Executive Assistant at a senior leadership level.
● Diploma or Degree in Business Administration, Office Management, or Communication.
● Experience in regional or cross-border coordination is an advantage.
