To provide effective and efficient high level executive support including prioritization of work, attending and responding to emails, diary management and communication to the Managing Director (MD)
• Manage the MD’s electronic diary, assessing priority of appointments and reallocation as necessary.
• Process the MD’s correspondence, ensuring that incoming correspondence is dealt with by the MD or on behalf of the MD as appropriate.
• Maintain MD’s office systems, including data management and filing.
• Assist MD in researching and following up with action on matters which fall within his responsibility – chasing responses, triggering follow-up action.
• Produce documents, briefing papers, reports and presentations for the MD.
• Organize meetings and ensure that Director is well prepared for those meetings.
• Meet and greet visitors at all levels of seniority.
• Any other duties as may reasonably be required by the MD.
• At least a Degree in Business Administration or equivalent
• MBA an added advantage
• At least 3 years traceable experience as Personal Assistant at senior management level.
• Experience of electronic diary management.
• Exceptional interpersonal and communication skills with ability to interact professionally with a wide range of contacts of all races
• Highly self-organized with ability and plan own work.
• Excellent attention to detail, with the ability to maintain a high level of accuracy
• Ability to deal with sensitive information with discretion and to maintain confidentiality.
• Excellent IT skills, including working knowledge of presentation software packages, preferably Microsoft Office Word, Excel,
PowerPoint, Google Docs etc
