The position is responsible and accountable for site pharmaceutical services, including planning, organizing, directing, managing, coordinating and overseeing the activities and operations of the pharmacy department and pharmaceutical services at the site.
Your Contribution – Key Responsibilities.
• Order ARVS and essential medicines from NATPHARM through ZAPS, ZADS, DTTU using NATPHARM requisition books and ZAPS facility order as well as ordering from PSH warehouse through different departments or programmes routinely.
• Order other medical commodities including contraceptives, and condoms medicines from NATPHARM and PSH Warehouse
• Timeously follow up all orders with NATPHARM and PSH warehouse to minimize interruption in service delivery due to stock outs.
• Count and forecast HIV medicines (PrEP/ART/PEP), STI and other essential medicines to come up with the actual pharmaceutical requirements for the site
• Issue out other medical/surgical sundries and commodities for use at the clinic
• Liaise with other PSH pharmacy technicians and stakeholders e.g. government hospital pharmacy managers on loaning medicines, slow moving medicines, near expiry or expired ones for destruction as well as dead stock to ensure that there are no expiries
• Receive medicines from PSH warehouse, MoHCC, council clinics, NATPHARM and DTTU and entering the medical products in appropriate registers and stock cards as well as updating the minimum, maximum and emergency order point of every pharmaceutical product to ease ordering thereby reducing stock outs
• Update Clinical Services Coordinator, and site-based clinical personnel on medicine availability, new medicines in stock, slow moving medicines, near expiry and new medicine dosages to improve patient management and stock management.
• Carry out monthly physical counts of all items for better stock management and control
• Compile and submit monthly, quarterly and annual reports on medicine and medical commodities stock status, including NATPHARM Consumption Requisition (CR) report
• Update and maintain the expiry medicine register, ART pharmacy register, PrEP register, Fluconazole register, Cotrimoxazole preventive therapy (CPT) register, STI and essential medicines register every day
• Produce logistics reports on consumption, stock on hand, losses and adjustments monthly and quarterly
• Ensure that there is rational prescribing by the nurse counsellors and doctor through distributing the current standard treatment guidelines like EDLIZ, Consolidated HIV Prevention, Care and Treatment Guidelines and aligning them with PSH practice
• Promote the use of the Standard operating procedures for prescription and dispensing of HIV medicines (ART, PrEP and PEP), other essential medicines and commodities
• Conduct regular checks on the clinical areas e.g. emergency drug trolleys as well as surgical items to reduce expiries thereby improving stock management
• Dispense medicines to recipients of care at the site and ensures accurate documentation in paper-based registers and electronic medical record as appropriate
• Reconcile medicines from community outreaches for proper record keeping
• Provide counselling to patients on medicine dispensed to improve patient management
• Coordinate all pharmaceutical needs for the site in line with MCAZ requirements and guidelines
• Ensure good pharmacy practice when dispensing to all recipients of care through proper counting, labelling of medicines, providing enough information on each medicine or medical product dispensed
• Ensure that all medical and pharmaceutical products are secure and stored per good storage guidelines as required by MCAZ and implementing the national medicine control system in line with the requirements of the Directorate of Pharmacy Services, MCAZ and Pharmacist Council of Zimbabwe
• Provide on job training and mentoring activities to the IHCNs on stock management, record keeping as well as pharmacy standard operating procedures
• Keep accurate records on stock cards and electronic medical record using FEFO and FIFO principles.
• Ensure infection prevention and control both in the pharmacy and storeroom
• Compile and submit the “Soon to expire report”, “Slow moving commodities report”, “Stock transfer form”, “Facility Order Form” to PSH and NATPHARM respectively
What Are We Looking For?
• Relevant Pharmacy Technician Diploma
• Current registration with the Pharmacist Council of Zimbabwe
• Sound knowledge and understanding of HIV/ TB prevention and management in Zimbabwe.
• At least three years prior NGO experience in HIV/TB prevention and management medicines supply
• Experience in NATPHARM ART and PrEP supply and National TB program supply chains
• Proficiency in MS Word, Excel, Outlook & PowerPoint
• Good interpersonal and communication skills and demonstrated ability to work independently and as part of a team.
