The National Biotechnology Authority is seeking a detail-oriented and proactive Procurement Assistant to join our Head Office team. The successful incumbent will support the Procurement department in sourcing, purchasing, and managing supplies and services essential for our operations. This role requires excellent organizational skills, attention to detail, and the ability to work collaboratively with suppliers and stakeholders to ensure timely and cost-effective procurement. Procure goods and services by:
• Conducting market research
• Preparing and sending requests for quotations to potential suppliers
• Maintaining and updating supplier database
• Submitting procurement requisitions for payment processing
• Preparing and submitting purchase orders for approval
• Tracking and expediting orders
• Receiving and inspecting goods upon delivery
• Maintaining accurate records of procurement activities.
Support compliance by:
• Drafting procurement reports
• Coordinating with user departments.
Monitor orders by:
• Delivering purchase orders
• Following up and reporting nonperforming suppliers
Respond to queries by:
• Providing the required information to stakeholders
• Generating reports on procurement issues
Consult Internal departments by:
• Coordinating with user departments on specification verification
• Providing feedback on procurement orders
Conduct supplier due diligence by:
• Visiting supplier premises
• Generating due diligence reports
Maintain Procurement records by
• Filling all procurement documents
• File routing
Compile procurement comparative schedules by:
• Gathering quotations
• Comparing prices
• Organizing data
• Making recommendations
Perform Logistical duties by:
• Collecting orders
• Checking product nonconformities before delivery
• Signing delivery notes
Initiate purchase requisitions and tenders by :
• Creating purchase requisitions and tenders in the system
• Submitting documents for approval
• A Higher Diploma/Degree in Supply Chain Management or equivalent qualification.
• Knowledgeable in all procurement regulations and Acts.
• One year working experience in a busy office environment.
• Strong organizational skills and attention to detail.
• Excellent communication and interpersonal abilities.
• Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
• Ability to work collaboratively in a team-oriented environment.
