Job Description
Supervison of Workshop staff, which includes panel beaters and spray painters. Job includes planning of all jobs; monitoring and insuring that we are meeting deadlines.
Quality control of all finished vehicles before delivery to clients.
Duties and Responsibilities
1. Signing of Job Cards.
2. Overseeing panel beating and paint shop assignments in the workshop.
3. Consultation with marketing on quotations information.
4. On receipt of a properly authorized Job Card, the Officer must decide on who or which team is allocated the job on hand. This must be done considering the artisan’s competencies.
5. A daily report on what jobs were received into the workshop must be prepared and submitted to the MD.
6. Establish a viable Job Contract, which considers customer expected collection date. A daily Job Contracts report must include expected or projected repairs finish date and time.
7. The officer must prepare a daily Jobs Repair Update Report, highlighting progress made vis-à-vis job completion.
8. Parts and material planning must be done daily and shared with the Procurement Office in writing. A copy of this report to be shared with the Executive Assistant / MD.
9. Conduct Stage Quality Rounds and report outcomes with Executive Assistant / MD daily without fail.
10. Rework or Repeat Jobs, at any stage, cost the company as they are not recoverable from the customer, and thus should be eradicated. Report on these daily.
11. Cost of Rework or Repeat Jobs after client has collected vehicle is recoverable for team or teams that worked on the said jobs. Recovery will be done from officer and teams. (This means that Rework must be avoided at all costs by adherence to best quality standards approach).
12. Report on After-Vehicle-Collection reworks weekly, giving causes of the repeat work and what corrective action(s) that have been put in place.
13. Conduct final quality checks after ensuring all contractual obligations (tasks as listed on the estimate) have been done to the highest quality standard.
14. The quality team will include marketing officer, executive assistant, accountant, administrative officer, a member of the panel beating section, and one from the paint shop, and the projects officer.
15. After all members of the quality team, as defined above, have signed off on the final quality, Accounting must be advised in writing to prepare customer invoice in line with the agreement. All aspects of the authorized job must be invoiced. Update the Month-to-date Invoicing report and circulate to the Executive Assistant / Managing Director.
16. Preparation, submission, and discussion of a Weekly Productivity Report is expected, preferably every Friday.
17. Liason link between the workshop and the customers.
18. With the panel beating and paint shop supervisors inspect and sign on the consumables requested for jobs in the workshop.
Qualifications and Experience
Degree in Business Management and any related courses.
Certificate or Diploma in Project Management is an added advantage.
Minimum of 5 years in supervisory position.
Knowledge of the motor industry is also an added advantage.
