Job Description

Key Accountabilities:
The Receptionist shall be responsible for the following;

Duties and Responsibilities

• Operating the Switchboard: receiving and directing calls or taking messages to relay.
• Administration blocks management (supplies, cleaning, repairs)
• Managing the Travel desk for LCZ staff and group visitors- Flight bookings, Accommodation arrangements, Arranging Airport and Ground Transfers, International SOS logging, Travel Policy, Visas; Procedures.
• Ensuring good corporate image is maintained by managing the front office.
• Handling queries with professionalism.
• Assisting with LCZ events management, meetings and other gatherings
• Prompt reporting of all faults (switchboard, security system, electricity, and photocopier).
• Managing subscription for newspapers and timely daily distribution for relevant stakeholders.
• Managing collection of mail on a weekly basis from organisation post office box.
• Arranging timeous mail distribution or return for incorrect addressees.
• Managing PPE (storage, usage for visitors/return, orders where required)
• Managing stationery orders for Administration dept.

Qualifications and Experience

Qualifications:
• At least 5 Ordinary level passes of grade B or better including English Language.
• Holder of a Secretarial Diploma.
• At least 2years' experience in a similar role.

Key Competencies
• Receptionist needs to also possess the following:
• Computer proficiency
• Switch Board operation skills
• Customer handling skills
• Excellent telephone manners
