Job Description

The incumbent will provide administrative support to the Workshop team by maintaining accurate records, coordinating workshop documentation and communications, supporting inventory control, preparing reports and ensuring compliance with company procedures and Safety, Health and Environmental (SHE) standards. The successful candidate will also perform any other duties as assigned by the superior.

Duties and Responsibilities

 Maintain accurate records of workshop activities, including work orders, maintenance logs, inventory records and equipment usage.
 Capture and update data relating to repairs, inspections and maintenance activities in relevant computerised systems and databases.
 Liaise with the Workshop, Maintenance, Operations and other relevant departments to facilitate effective communication and coordination.
 Assist with scheduling maintenance activities, equipment downtime and workshop staff activities, ensuring that schedules are effectively communicated to relevant personnel.
 Prepare and compile workshop reports relating to maintenance activities, workshop performance and inventory status for management review.
 Organise and maintain physical and electronic workshop files, including technical documentation, safety records and compliance reports.
 Monitor inventory levels of workshop tools, spare parts, materials and supplies to ensure availability for maintenance and repair activities.
 Prepare and submit purchase requisitions/orders for workshop materials and parts in accordance with laid-down procedures.
 Maintain records relating to safety inspections, incidents and compliance with SHE requirements.
 Ensure all administrative activities are performed in accordance with company policies, workshop procedures, industry regulations and SHE standards.
 Promote a safe working environment and ensure that all assigned duties are performed with due regard to personal health and safety, the safety of colleagues and protection of the environment.

Qualifications and Experience

 Minimum of 5 Ordinary Levels, including English Language.
 Certificate/Diploma in Office Administration, Business Administration, Management or a related field.
 Previous experience in an administrative or clerical role, preferably within a workshop, mining, engineering, manufacturing or other industrial environment, will be an added advantage.
 Proficiency in Microsoft Office applications, particularly Microsoft Word and Excel.
 Good record-keeping, data capturing and document management skills.
 Strong organisational and time-management skills.
 Excellent communication and interpersonal skills.
 High level of accuracy and attention to detail.
 Ability to work with minimum supervision and meet deadlines.
 Ability and willingness to work in a demanding workshop/industrial environment.
 Knowledge and understanding of workplace safety and SHE requirements will be an added advantage.
