Do you have a Bachelor’s degree in one of the following fields, namely Human Resources, Business Administration, Project Management, Development Studies, Social Sciences or a related discipline. Progress towards a professional qualification in project management such as PRINCE2, PMP or equivalent is an asset?

Do you have a minimum of 5 years progressive experience in (a) Project coordination or programme management, (b) Planning, monitoring, and reporting systems, (c) Administrative or operational support in complex environments?

Do you have experience working in multi-country or multi-stakeholder environments?

Duties and Responsibilities

KEY RESPONSIBILITIES

CLT Coordination, Strategic Workflow Management & Leadership Effectiveness (25%)
The role ensures the smooth functioning, discipline, and strategic effectiveness of the Cluster Leadership Team.

Coordinate CLT planning cycles, schedules, priorities, and leadership workflows.
Manage leadership calendars, strategic processes, and decision pipelines.
Strengthen cross-functional coordination across programmes, business support, and business development..
Ensure strategic priorities are translated into structured workflows

Governance Systems, Decision-Making Structures & Accountability Support (20%)
The role strengthens governance systems by ensuring leadership decisions are structured, documented, and institutionalised.

Prepare agendas, briefing packs, strategic papers, and governance documentation
Support governance structures including CLT meetings, strategic reviews, leadership forums, and decision-making platforms
Maintain decision logs, governance records, action trackers, and compliance documentation
Ensure leadership decisions are clearly documented, effectively tracked, and timely implemented

Executive Meeting Management, Leadership Facilitation & Strategic Engagement Support (15%)
The role ensures leadership meetings are well-structured, high-quality, and outcome-focused.

Coordinate preparation and logistics for CLT meetings, strategic planning sessions, regional forums, governance engagements
Support structured facilitation and leadership readiness.
Ensure meetings are efficient, strategic, well-informed, and action-oriented
Track implementation of decisions and follow-up commitments.

Documentation, Reporting, Information Management & Institutional Memory (10%)
The role strengthens leadership access to accurate, high-quality information.

Consolidate, manage, and maintain leadership documentation, reports, strategic plans, governance records, and organisational updates
Ensure documentation quality, accessibility, and consistency.
Support preparation of internal reports, leadership dashboards, progress updates, and strategic summaries
Strengthen institutional memory and organisational continuity

Internal Communication, Organisational Coordination & Cross-Cluster Alignment (10%)
The role facilitates seamless communication across leadership and organisational systems.

Support communication between CLT members, cluster teams, functional teams, governance actors
Ensure clarity, consistency, and strategic alignment of internal messaging.
Strengthen organisational coordination across dispersed regional structures.
Reduce duplication, fragmentation, and communication bottlenecks.

External Engagement Coordination & Leadership Representation Support (5%)
The role supports strategic external leadership engagements.

Coordinate logistics, materials, and documentation for external meetings, partner engagements, donor forums, and strategic alliances
Support briefing preparation and follow-up.
Strengthen external engagement discipline and accountability.
Ensure strategic continuity across leadership engagement

Strategic Planning, Monitoring & Organisational Priority Tracking (10%)
The role supports leadership in maintaining strategic momentum.

Support development, coordination, and monitoring of strategic plans, leadership priorities, transformation milestones, organisational commitments
Track progress against strategic objectives.
Identify implementation gaps and coordination challenges.
Strengthen strategic planning discipline.

Continuous Improvement, Governance Innovation & Systems Strengthening (5%)
The role drives continuous improvement in leadership systems.

Identify opportunities to strengthen governance systems, workflow management, coordination tools, and leadership processes
Develop templates, systems, dashboards, and process innovations
Promote efficiency, institutional learning, and adaptive governance.
Strengthen future-fit leadership systems.

Qualifications and Experience

An ideal candidate for the role will also be / have:

ESSENTIAL

Bachelor’s degree in one of the following fields, namely Human Resources, Business Administration, Project Management, Development Studies, Social Sciences or a related discipline. Progress towards a professional qualification in project management such as PRINCE2, PMP or equivalent is an asset.
Minimum of 5 years progressive experience in (a) Project coordination or programme management, (b) Planning, monitoring, and reporting systems, (c) Administrative or operational support in complex environments
Strong organisational and planning skills
Ability to manage multiple priorities and deadlines
Excellent communication and interpersonal skills
Experience working in multi-country or multi-stakeholder environments
High attention to detail and problem-solving ability
Ability to work independently and proactively

Desirable

Postgraduate qualification or certification in: (a) Project Management (e.g. PRINCE2, PMP or equivalent), (b) Organisational Development, and Development Studies or related field
Training in Monitoring, Evaluation, Accountability and Learning (MEAL), Partnership management or localisation approaches, or facilitation, coordination, or team leadership desirable
Experience in INGOs or partner-led development models
Knowledge of Southern Africa regional context
Experience working with localisation and decolonial approaches
Portuguese language capability
