HUMAN RESOURCES ASSISTANT

An exciting opportunity for the position of Human Resources Assistant has arisen for a suitably qualified and experienced person at Allied Timbers Zimbabwe (Pvt) Ltd. The company is a big player in the timber industry both locally and internationally and is a provider of high quality and durable timber-based solutions for both industrial and end user markets. The successful incumbent will report directly to the Human Resources Manager

Duties and Responsibilities

Duties and Responsibilities

Prepare, process, and review a variety of documents, including applicant/employee files, payroll records for completeness, accuracy, and submission standards.
Type variety of documents in drafts and final form
Overseeing the creation of contracts for all stakeholders, client packs and other documents, including their formatting, printing, binding and distribution in a manner that is above legal parameters.
Handling confidential matters with discretion, complying to the condition of service information management policy.
Assist in processing unemployment verifications
Assist in administering employees benefit program and activities
Organising and attending meetings and ensuring HRM is well prepared for meetings.
Write minutes in all meetings and submit on time, sort/distribute mail, and maintain departmental files
Support the recruitment process by mailing applicant notifications and administering aptitude tests
Operate a variety of office tools for efficiency and effectiveness
Assist with the recruitment process by identifying candidates, performing reference checks and issuing employment contracts.
Schedule interviews, HR events and maintain agendas.
Coordinate training sessions and seminars.
Perform orientations and update records of new staff.
Carrying out specific HR projects and research.
Produce and submit reports on general HR activity.
Complete termination paperwork and exit interviews.
Keep up-to-date with the latest HR trends and best practices
Taking responsibility of HR monthly dashboards and budgets to the level assigned by the HRM.
Taking part in partial decision-making on processes at HRM level.

Qualifications and Experience

Skills and Knowledge

Having prior experience in a human resources environment
Strong knowledge and experience in the use of resume databases or HRMS is also useful for the position
IT Skill that is well versed in the use of computers systems as well as software’s such as spreadsheets and word processors
Communication Skill: must be able to distribute relevant information to general HR department and company employees using appropriate language
Organizational Skill: must provide administrative and clerical support to ensure smooth HR operations in an organization.

Minimum Qualifications

Relevant Degree in Human Resources Management / Higher National Diploma in HR.
IPMZ membership.
It will be an added advantage to have a secretarial diploma.

Experience

Two years’ experience as a HR assistant.
Exposure to payroll practices.
